Basic Party Planning Tips

By Angelo

For many people, a party means eating, socializing and having a fun time. It’s an event where they get to spend time with their family and friends and forget all about their worries and problems in life.

For you, throwing a party means the exact opposite. Although you do like spending time with your loved ones and friends during these events, you simply abhor planning one.

If you’re starting to get anxious while planning a party, there’s no need to panic. What you need is just a little organization so that you won’t feel too stressed out before, during and after the party. After all, it’s a time when you should be enjoying yourself.

Top Ten Tips for a Stress-Free and Fun Party

Here are the top ten tips on how you can plan and host a successful party, but without any hassle. See if you can apply them the next time you hold an event.

10. Jotting down the Basics: Make Lists

to-do lists
Making a list helps you remember party details
Not many people like to write down their thoughts or chores to be done, but if you want your party to be well-prepared and successful, you should do this task. A list will allow you to remember and study everything that you’ll need for the party, from the smallest streamer to the delicious banquet that you’ll be serving. It also lets you see your options when it comes to making party decisions.

Aside from the to-do list, you should also prepare a guest list. This lets you see how many people you’re expecting to attend. A guest list is crucial, since you base several details of the event on it, such as the area of the venue and the amount of food you’ll be preparing. That way, you won’t be making guesses about anything.

9. The Motif Matters: Choose a Party Theme

Having a superhero party theme is fun and cool
A party theme is the main design concept that you will use for the whole party. It can come in different forms, such as holiday themes, ethnic themes and kiddie themes. A party theme can help you get organized and give you an easier time with planning. It also decides the “look” of your party.

A common misconception among many people is that a theme complicates the whole event. On the contrary, having a specific theme will give you an easier time with planning. Since you already know what kind of materials you’ll need, what games you’ll have and what kinds of decorations to buy, shopping and setting up will be much easier.

Another advantage of having a party theme is that it adds entertainment to the whole event. It’s thrilling, because instead of a plain and boring get-together, you and your guests will be able to have an exciting time.

8. The Perfect Party Arena: Find a Suitable Venue

Picture this scenario: you’ve invited more than 50 guests to one of your parties, and you’ve got everything ready for them. Everything is set, even the sound system and the munchies. You only have a teensy weensy problem. You’re holding the party in your studio apartment. Sounds annoying, right?

You can use your garage for a party place
You can’t hold a successful party if the venue itself is downright inappropriate. Think about it: if you use one that’s too small, your guests will be packed like sardines in a can, but if it’s too big and you only have several guests, the venue’s aura would depict a bland, plain and empty effect. You have to make sure that it’s large enough to hold in all the guests you expect to come, but not too spacious that your voices echo across the room.

The perfect venue is one that can hold all your guests, the party furniture and the buffet, but still have enough space for you to move around. If you’re having a dance party, make sure you have a dance floor area. Also, the decorations and the theme design you’re using should be able to harmonize well with the venue.

7. Frenzied Shopper Syndrome: Buy All Your Supplies in Advance

If you’re used to cramming and procrastinating, quit the habit when you’re planning your party. This is one reason why many party planners break down or become stressed while preparing an event. They leave everything to the last minute. The result is that they become frenzied shoppers, forgetting half of what they’re supposed to buy.

To avoid this dilemma, make sure that you buy all your party needs in advance. Shop for utensils, game materials, prizes and food at least a week before the big event. That way, if ever you leave something out, you’ll still have time to go back to the store to buy it.

Also, check your budget every now and then. Parties can be expensive events, and if you’re not careful and you’ve splurged your money, chances are you’ll run out of cash for the other party necessities.

6. Communicating with the Guests: Send the Invitations on Time

Everything about your party is already arranged, and you’re all smiles while waiting for your guests to arrive. Then, your smile slowly falters as time passes and only a few guests arrive. The reason? You didn’t mail the invitations early enough.

Keep your invitations short and simple
This is a common dilemma encountered by many party hosts or hostesses. They procrastinate and leave the invitations to the last minute, resulting in miscommunication with the guests. Either the guests didn’t actually receive the invites, or they received them, but because they didn’t have time to prepare, they ended up deciding not to go. To avoid this, send the invitations to the guests in advance, at least a week before the actual party.

Before sending the invitations, remember that they should contain all the necessary information about the party, including the time, date, venue and location. If the guests need to come in a special costume or if they need to bring anything, say so in the invitation.

5. Over-Decorating Problem: Don’t Splurge Too Much on Decorations

Simple balloons are enough to decorate your party
Yes, you want your venue to look simply dashing and unique, but this doesn’t mean you have to put up streamers, banners and decorative figurines in every nook and cranny! Many planners today are guilty of doing this. They want their venue to be simply unforgettable, but they just end up making the whole place look like a total mess because of too many decorations.

When decorating your party venue, try to start with the basic decorations first, such as the banner, the table centerpieces and the streamers. Add everything else you want afterward, but bit by bit. Scrutinize as you add every detail, and if you think that the decorations are becoming too overwhelming, stop.

Too much decoration can also take away a large portion of your budget, so you should think carefully before choosing which ones you’ll use. Is an ice sculpture necessary for a kiddie birthday party? Ponder carefully, and then take away the decorations your party can do without. It’ll mean more money for other party necessities.

4. Delicious but Hassle-Free: Settle for Simple Dishes

For your party menu, you plan to start with mozzarella and basil stuffed tomato, and eggs with salmon and caviar. Then, the minted lamb steak main dish follows, along with a mashed golden potato with a goat cheese side dish. Lastly, you finish it off with a serving of lemon brulee and strawberry tiramisu. Yes, it sounds delicious and enjoyable. Unfortunately, it’s also very difficult to do. A menu with this many complicated dishes will have you slaving away at the kitchen for hours.

Unless you have a caterer that’s doing all the food preparation, you should opt for dishes that you can easily put together, and would only require simple ingredients. For example, for your appetizer, you can peel shrimp and then place them on a serving plate with a delicious dip in the middle. Crackers with ham and cheese on the top are also a good option. For your main dish, roast chicken would be very delectable, but easy to make. Then, the dessert can be simple cupcakes with a yummy frosting design on top.

Simple dishes will not only let you spend less time in the kitchen, but they will also allow you to save money. Their ingredients are less expensive, so preparing them for large crowds won’t be too costly.

3. Avoiding Party Boredom: Always Have Fun Activities

A party can be boring sometimes, especially if all the guests do is roam around and chat. It can get tiring and they might feel compelled to leave. To prevent this from happening, make sure you have fun activities and games to entertain everyone. It doesn’t have to be very complicated, just as long as it can get a few laughs and participation from your guests. You can also use them as ice breakers, especially if the people you’ve invited aren’t acquainted with each other yet.

Usually, children’s parties are those that have fun activities and games, but this doesn’t mean adults have to miss out on the fun. Even a formal black-tie party can have a fun activity, such as a trivia game. Divide the guests into several teams according to the table where they are seated. Then ask questions, and whoever gets the right answer first wins.

2. Good Party Memories: Prepare Party Favors

Everyone loves getting gifts, and your guests certainly will. Before they leave, you should give them party favors. These are small trinkets or gift items given to the guests at a party as a “thank you” by the host. It’s a sign saying that you enjoyed their company and that you appreciate their presence. A party favor can also serve as memorabilia, since they are either useful or can be used for decorations.

You can give any type of party favor, but make sure that you give one that can be tied to the party theme or the occasion. For example, you could give a decorative silver rattle for a baptism party, while a love song CD would be perfect for a wedding celebration.

1. Enjoying the Party: Mingle and Go Around

Be sure to join your guests in dancing
Just because you’re the host doesn’t mean that you have to be running around and attending to your guests’ needs. There have been many accounts of hosts or hostesses planning difficult parties that don’t allow them to talk to anyone because they’re too busy arranging everything. The result is they feel too exhausted to chat with their guests. Not only is this annoying, but it’s also rude.

As the host, it’s your duty to make sure that your guests are all comfy during the party. Leave that chore, get out of that kitchen, and start going around the place. Talk and laugh with your friends and your family. Chances are they’ll be amazed and praise you for the wonderful party you’ve prepared for them.

Now you know what you’ll need for a successful party, it’s time for you to start planning. So go ahead and have lots of fun. It’s party time!

Here’s another tip: make sure that you have a really funny host, so the party doesn’t get boring. The host is the one who will initiate games and other activities, so he has to be the life of the party.

I completely agree that the host should enjoy the party as much as the guests. Our neighbor held this barbecue party in her house last week, and she was so fussy with the guests that later that day, she told me she was exhausted and her head was aching. She didn’t look happy at all. I think she should’ve just let the guests do what they wanted to do, and had fun herself.

I’ve been a host in several adult party settings. It helps when you don your bondage attire. A lot of people like rough and painful hosting that way.
